How to Email Your CV to an Employer

How to email a CV: the subject line, a short message, attaching a PDF, naming the file, and what to do when the advert gives instructions.

When an advert says “email your CV”, the email itself is your first impression. A clear subject line, a short polite message and a correctly named PDF help your application reach the right person and get opened.

Subject line

Use the job title and any reference number from the advert, plus your name: “Application: Junior Accountant, Ref JA-104, Thandi Nkosi”.

The message

Keep it to three or four sentences: the job you are applying for, one line on why you are a good fit, what is attached and how to reach you. Use a greeting with the person’s name if the advert gives one.

Attachments

  • Attach your CV as a PDF so the layout looks the same on every device.
  • Name the file clearly, for example Thandi-Nkosi-CV.pdf.
  • Add a cover letter as a second PDF if one is asked for.
  • Only attach certificates and ID copies if the advert requests them.
i
Builder tip: Download your CV as a PDF from the builder; the file is small enough for any inbox and the text stays selectable for screening software.

Before you send

Send the email to yourself first to check the attachment opens. Follow any instructions in the advert exactly; if it says to use a portal, do not email instead.

Avoid: an empty email with only an attachment, a file called “Document1.docx”, and sending the same email to many employers with everyone in the To field.
